Wheels Introduces New Reimbursement Program

 Wheels, Inc. has become the first fleet management company to offer a comprehensive reimbursement solution to its clients.

Reimbursing employees for using their own vehicle for business purposes has traditionally been used by some organizations an alternative to company-provided vehicles. But Wheels’ new solution marks the first time a fleet management company has offered support services that help clients manage reimbursed vehicles to the same professional standards as their company-provided fleet.

“Many of our clients have varying transportation and driver needs in their fleet – leasing may work best in some applications, while reimbursement may work better in others. Seasonal work, medical exceptions, new hires, startup initiatives, low mileage drivers, cultural issues or acquisition of a company with an existing reimbursement program are some of the reasons we’ve found clients may choose reimbursement for a segment of their employees,” said Dan Frank, president of Wheels. “The Wheels Reimbursement Program allows clients to provide the optimal solution for each employee and is at the forefront of industry-leading innovation.”

The Wheels Reimbursement Program provides a truly integrated solution, through which clients can now manage their reimbursed drivers using the same tools and support resources that were previously available only to company-provided vehicle segments. This allows clients to more easily monitor their vehicles’ maintenance, safety, insurance, cost-efficiency and brand image.

“For many years, the industry thought that the decision was lease versus reimbursement,” said Kip Fournier, director of reimbursement sales at Wheels. “At Wheels, we believe there are appropriate uses of both and that a fleet’s reimbursement program should be as just as well-managed as its leased program. Now with Wheels Reimbursement Program, clients can bring parity to their lease and reimbursement fleets.”

Key features of the program include a managed maintenance program, insurance verification, driver safety, mileage logging and strategic account management. The managed maintenance program is a standard benefit of the program that reduces driver downtime, helps ensure vehicles are kept in safe working condition and limits out-of-pocket expenses and administration for drivers. Additionally, through Wheels’ Results+ Fleet Performance Program, each Wheels client is provided with an Account Manager who continuously analyzes each segment of the client’s fleet and presents informed strategic recommendations optimized for each driver and situation.

“When developing our Reimbursement program, we wanted to be sure it included high levels of control and reporting at every step. From validation that insurance is up-to-date, to full visibility that reimbursed drivers are getting their maintenance completed,” said Brian Chau, senior director of product innovation for Wheels. “Our program promotes compliance and is easy to administer.”
